The week's tip pool without a spreadsheet

Every café with a tip jar or a tip line on the card reader has a tip spreadsheet somewhere. Hours go in from the timesheets, the tip total from the POS, a formula divides one by the other, and someone double-checks it because last month a cell reference slipped. Then a barista asks why their share was lower this week, and the answer means opening all three again.
If tips and hours are already in Mays, the split is already calculated, the same way payroll calculates it. Your AI app can read it to you, and explain it.
Part of our series Run your restaurant with your AI: one real situation per post, with the words you type and what happens in Mays. The prompts and results are illustrative examples.
What the owner types
"How were tips split last week at Midtown? Show each person's hours, share and tips per hour, and remind me how the pool works there."
What the AI does in Mays
It asks Mays for the tip pool for last week (or any range up to 31 days, such as one pay period). The numbers come from the same tip engine as payroll, the one behind the FTAR and tip pool report in Mays:
- Where the tips come from: tips declared on punches, or else the tips on the orders your POS sends to Mays. The answer says which (or that it's a mix, or that there were none).
- Each location's rules: how tips are split (by hours, equally, or by score) and whether pooling is on. When it's off, each person keeps the tips on their own punches.
- Per person: the hours they worked in the range and where.
- The money: the pool total, each person's share and their tips per hour, but only if you can see pay in Mays and ticked Include wages, labor cost and tips when you connected.
What you see
With pay included, for example (illustrative):
"Last week at Midtown: $1,912 in tips from POS orders, split by hours. 8 people, 214 hours, about $8.93 an hour. Maya L.: 34 h, $303.78. Jordan R.: 29.5 h, $263.57. …"
Without pay, the same question gets hours and rules only:
"Last week at Midtown: 8 people worked 214 hours; tips are split by hours from POS orders. Tip amounts are hidden for this connection."
The AI is told, in so many words, never to estimate a hidden amount or treat it as $0. If you need the dollars, reconnect with the pay box ticked (and pay access in Mays).
Answering "why is my share lower?"
This is where a chat beats a spreadsheet. Ask follow-ups in plain words:
- "Why did Maya get less than the week before?" The AI can compare her hours, and the pool, across the two weeks.
- "Did tips come from punches or from the POS?"
- "Show the last pay period, Sept 16 to 30."
If someone's hours look wrong, that's a timecard question, not a tip question: check the punches first (see Before payroll: a timecard check in plain words), fix them in Mays, and the split follows.
What it replaces
Before | With Mays connected to your AI |
|---|---|
Copy hours from the timesheet into the tip sheet | Hours come from the Time Clock |
Copy the tip total from the POS report | Tips come from punches or POS orders |
Keep the split formula right | Split by each location's rules, like payroll |
Re-open three files to answer one question | Ask the question |
Who can ask
People who can see the team in Mays, at the locations they manage, in an organization that uses the tip pool report. Amounts need pay access in Mays and a connection that includes pay. It's reading only, so no actions setting is needed.
What Mays doesn't do here
- It doesn't change the rules from the chat. How a location splits tips is set in Mays (see Tip pooling).
- It doesn't guess hidden numbers. No pay access, no dollars.
- It isn't legal advice. Who may share in a tip pool depends on federal and state law; set up the pool with that in mind. Our tip-out sheet template covers the basics, with sources.
No Mays account yet? In the Mays app in ChatGPT's app directory, a tip pool calculator splits a total you type by hours, by points or equally, with labels like Server 1 instead of names. It doesn't read or change any Mays account.
Try it after your next pay period
- Connect Mays to ChatGPT, Claude or Grok from mays.app/ai (ChatGPT, Claude, Grok), and tick Include wages, labor cost and tips if you want the amounts. Connect Mays to ChatGPT, Claude or Grok explains it.
- Ask how tips were split.
- Answer the next "why" with the same chat.
