Copy your 7shifts task lists into Mays as checklist templates instead of typing them again. Each list becomes a template, and its tasks become the template's tasks.
Who: admins. Before you start: connect 7shifts and link the location to its 7shifts location. See Connecting 7shifts. 7shifts is part of Integrations, in the Basic and Pro plans.
Import your lists
- Go to Integrations. On the 7shifts card under Connected, click Configure.
- On the Location Mapping tab, click Sync task lists (Pick which 7shifts task lists to bring into Mays as checklist templates.). It's there once at least one location is linked.
- On Import 7shifts task lists, pick the location to import into. With only one linked location, the page says Importing into (location).
- Each 7shifts list shows its name, how many tasks it has and how often it repeats in 7shifts, for example daily @ 08:00. Every task in every list starts ticked. Untick the lists or tasks you don't want. Click a list to see its tasks.
- Optional: under Mays department, pick the department the template is for. None (template visible to all roles) leaves it open to everyone at the location.
- Click Import at the bottom. You'll see Imported 2 task lists, for example, and how many were skipped.
A list you've already imported shows Already imported and can't be picked again. Refresh fetches the lists from 7shifts again.
What you get
Each list becomes an active checklist template, named like the list, for the location you imported into:
- Tasks keep their 7shifts order, in one group called General. A task that's required in 7shifts is required in Mays.
- Answer types: a checkmark becomes a Checkbox, a photo a Photo, a number a Number, and a temperature a Number answer in °F or °C.
- Repeat: daily lists repeat Daily, weekly lists repeat Weekly on the same days, monthly lists repeat Monthly, and anything else is set to Custom.
- Assigned to the location, and to the department if you picked one.
It's a one-time copy. Changes you make in 7shifts later don't reach Mays, and changes in Mays don't go back to 7shifts.
Check each new template's schedule
Open each imported template under Tasks → Templates before you rely on it. Some won't create any tasks until you fix their schedule:
- Monthly lists come in without days of the month. Pick the days.
- Custom lists don't run on a schedule. Start one when you need it from Tasks → Tasks → Create Task → From Template, or choose Daily, Weekly or Monthly on its Settings tab.
- Weekly lists: check the days. A list that had no days in 7shifts comes in without any, so pick them.
- The start time from 7shifts isn't used. Set when the checklist shows up and who does it.
See Scheduling and assigning checklists and Creating a checklist template.
Good to know
- No lists? The page says No task lists found in 7shifts for this location. Check that the location is linked to the right 7shifts location under Location Mapping.
- Each list imports once. Deleting the template afterwards doesn't free the list up: it still shows Already imported. Before you delete one, make a copy with ⋮ → Duplicate on Task Templates if you might need it.
- A list used at two locations can only be imported into one of them. For the other location, duplicate the template and assign the copy there.
- Unticked tasks can't be added later by importing again. Add them to the template by hand.
- If you disconnect and reconnect the same 7shifts company, lists you've already imported stay marked as imported, so you won't get duplicate templates.
