# Welcome to Mays

What Mays does, where to sign in on the web, iPhone and Android, who does what, and how plans and the free trial work — the two-minute tour for a new team.

Mays is the operations app for restaurants, cafés and multi-location food businesses: checklists, scheduling, inventory, training, team chat and a knowledge base in one place, on the web and on your phone.

## What's in the app

- **Tasks & checklists** — opening, closing, prep and cleaning checklists that repeat on the schedule you set. Staff complete them in the app with checkboxes, numbers, photos and custom forms. **AI photo verification** can score each photo and flag (or send back) the ones that miss the standard, and managers approve or reject completed lists from the dashboard.
- **Scheduling & time clock** — build and publish the weekly schedule, fill open shifts, handle shift trades, availability and time off, and see a sales forecast from your POS history. Staff clock in and out on their phone or on a shared kiosk tablet, and can add their shifts to their own calendar.
- **Inventory** — items, vendors, recipes and plate costing, stock counts on the web or in the app, suggested orders from your par levels, vendor invoices, waste, and theoretical vs. actual usage.
- **Knowledge Base** — your SOPs, recipes and documents in folders, searchable on the web and in the app. The AI Assistant in chat can answer questions from it.
- **Learning** — training modules with AI-generated quizzes, a leaderboard, and a certificate when someone passes a module marked compliance-critical.
- **Chat** — direct and group messages with photos, files, voice notes and read receipts, plus an AI Assistant to ask questions. Chat lives in the iPhone and Android apps.
- **AI agents** — four assistants that prepare work for you to approve: **Catering** (reviews new catering leads, suggests packages, drafts outreach and preps the invoice), **Temperature Watchdog** (investigates temperature alerts and files a daily compliance digest), **Team Coach** (a weekly team digest with coaching and recognition drafts) and **Sales Analyst** (a daily sales recap with drop and top-seller alerts). What they propose waits for your approval.
- **And more** — Insights (prime cost, labor cost, vendor spend), alerts and scheduled reports, Google reviews, smart thermometers, integrations such as Square and 7shifts, and **Mays AI**, the assistant button in the corner of every web page.

## Where to sign in

- **Web** — [go.mays.app](https://go.mays.app/login), with your email and password (plus a quick security check that usually finishes on its own). Admins and managers do most of the setup here.
- **iPhone and iPad** — the [Mays Operations](https://apps.apple.com/us/app/mays-operations/id6762584499) app on the App Store.
- **Android** — the [Mays](https://play.google.com/store/apps/details?id=com.yyvz.mays) app on Google Play.

The apps don't use a password: you sign in with your mobile phone number and a 6-digit code we text you. Employees usually only need the app. If you haven't been added yet, ask your manager — they add people under **Locations & Users → Users** on the web, or **Profile → Team** in the app.

## Roles at a glance

| Role | What they do in Mays |
| --- | --- |
| **Admin** | Sets up the organization: locations, users and roles, billing, integrations and settings. Sees every location. |
| **Manager** | Runs their own locations: the schedule and time clock, checklists and approvals, inventory, and the team. Sees only the locations they're assigned to. |
| **Employee** | Works the shift in the app: clocks in and out, completes tasks, checks the schedule, trades shifts and requests time off. |

Admins can also create their own roles with a hand-picked set of permissions — see [Roles and permissions](https://www.mays.app/help/team-roles/roles-and-permissions).

## Plans and the free trial

Every new organization starts with a **30-day free trial** with all plan modules switched on — no credit card needed. After the trial, the modules you have depend on your plan (**Basic** or **Pro**). A module your plan doesn't include stays in the sidebar with a small lock; opening it tells you it isn't included in your plan and offers an **Upgrade plan** button.

A few extras are separate add-ons, bought per location: the [AI phone receptionist](https://www.mays.app/help/catering-phone/ai-receptionist-ivr), [call recording](https://www.mays.app/help/catering-phone/ivr-call-recording) for it, and [digital signage](https://www.mays.app/help/food-safety-devices/digital-signage-overview) (your images and videos on your TVs).

Admins see the current plan, AI credits and invoices under **Settings → Billing** in the web app. See [Plans, the free trial and locked modules](https://www.mays.app/help/account-billing/plans-and-free-trial) for what each plan includes.
